The Sr. Payroll Specialist is responsible for the effective execution of payroll operations for an assigned group of clients, including accurate and timely processing of timecard entry, data entry, payroll processing, payroll distribution and invoice distribution. The role will assist the improvement of the day-to-day payroll operations by collaborating with Payroll Team Leadership and the Payroll Analyst on department initiatives and intra-team training. In addition, this role is responsible for process reconciliation and vendor management.
Success in this position will be measured by producing accurate and timely payroll and tax files and invoicing for our clients.
Essential job functions:
- Performs and coordinates all facets of multiple payroll cycles in all 50 states, using an in-house payroll system, for exempt and non-exempt employees as well as independent contractors.
- Ensures accurate and timely processing of payroll updates including new hires, terminations, and changes to pay rates to meet deadlines.
Interprets company pay policies for government regulations and exemptions. - Proactively identifies and resolves payroll discrepancies and collaborates with service team on appropriate communication to employees.
- Responsible for the accurate and timely processing of terminations and processes off-cycle termination checks as well as off-cycle checks due to missed deadlines or administrative errors.
- Responsible for reviewing and processing items on the Payroll Dashboard for additional pay, terminations, independent contractors, and time off requests daily.
- Prepares and transmits the bank files for checks and direct deposits.
- Troubleshoots issues and works with IT on successful transmission.
- Transmits daily tax files within prescribed timelines and resolves tax code mapping discrepancies.
- Collects, processes, and reconciles all garnishments and liens by preparing employee communication and uploading to the vendor.
- Uploads weekly reports for benefits and performs audits of payroll activity with appropriate vendor platforms.
- Reviews wage calculations and corrects errors to ensure accuracy of payroll.
- Works within multiple timekeeping systems to run integration for timecard reports.
- Reviews and ensures proper tax set ups including Federal, State, and Local.
- Reviews pre and post payroll processing audit reports.
- Creates and posts invoices for clients. Submits invoices to Billing Team for distribution.
- Completes manual check distribution within bank platform to post daily checks.
- Analyzes expense report detail and ensures proper documentation received.
- Maintains employee information as confidential and secure.
- Reviews and actions incoming payroll mail (garnishments, tax notices, etc.).
- Partners with internal departments, (Billing, HR, and Service) to serve as a point of contact for payroll inquiries, including knowledge of payroll best practices, wage and tax requirements.
- Corresponds with federal, state, and local tax agencies as needed.
Other duties:
- Provides guidance, assistance, and training to less experienced team members.
- Performs other job-related duties and responsibilities as may be assigned from time to time.
- Assists on department projects or product rollouts as necessary.
- Mandatory department coverage is Monday through Friday, 7:00 am to 4:00 pm Pacific Time. Senior Payroll Specialists must contribute equally to coverage requirements.
Preferred qualifications:
- 3 years of payroll processing for multiple clients (Employer of Record, PEO, or Staffing industry).
- Experience with multi-state payroll processing and related payroll taxes, including reciprocity.
- Knowledge of Fed/State withholding and SUTA requirements in all 50 states is required.
Expert-level knowledge of complex payroll concepts (fringe benefits, 3rd party sick pay, overpayments, garnishments, imputed income, local taxes, final pay rules by state, W-2/W-2c reporting, deduction reporting and reconciliation, FLSA, etc.). - Strong process & organizational skills.
CPP certification preferred. - Proven audit and analysis skills related to payroll validation.
- Exceptional ability to multi-task with an emphasis on attention to detail and quality.
- Excellent written and oral communication skills.
- Knowledge of gross to net calculations (disposable income, manual tax calculation, and other common payroll formulas).
- International payroll experience preferred, but not required (Canada, United Kingdom, Ireland, Germany, Netherlands, Belgium, or Singapore).
- Experience with an in-house payroll system (Microsoft Dynamics, PeopleSoft, Oracle) preferred, but not required.
Hiring Range: $59,000 – $77,000
The Benefits Manager plans, develops, manages, and administers the employee benefit plans in the United States and internationally to provide guidance and support for both the management and administration of our external talent (our business operations) and our internal talent (our team).
Under general supervision, the Benefits Manager uses knowledge and skills obtained through education, training and/or experience to manage the day-to-day administration of the company’s employee benefit plans. This position will manage the internal benefits department in determining procedures to perform a variety of departmental tasks. Resolves most issues independently, with elevated matters being referred to the VPHR, or CHRO as needed. Frequent contact with employees, internal customers, insurance carriers and/or third-party administrators is required.
Essential job functions:
- Provides day to day leadership to the benefits team.
- Manages and administers the IES 401k plan, benefits programs, including medical, wellness, dental, life, disability insurance and flexible spending in compliance with COBRA, ERISA, FMLA, IRS, ACA, and other related state and federal regulations.
- Manages and administers the benefit programs for both staff and contingent workers and considers impact on sales and retention of clients, as well as employee satisfaction with the plans.
- Works with our numerous benefits vendors to ensure all benefits platforms are properly configured, administered, executed and are legislatively compliant.
- Monitors daily activity in benefits administration system and workforce analytics system to import data.
- Identifies trends and benefits eligibility determinations and potential data errors.
- Ensures compliance and alignment with IES strategy and business needs.
- Manages and coordinates with client delivery and the HR business partners during the annual open enrollment period for health plans. Communicates with clients to report any plan design or premium changes to allow for new client contribution strategy. Arranges for distribution of materials from carriers, assists with, communicating changes to employees. Process changes within deadlines.
- Coordinates client communication and responds to client inquiries on benefits. Participates in client discovery calls as necessary.
- Supports the Client Delivery and Payroll team with research and analysis of errors or issues.
- Manages insurance broker relationship, technology vendors and 401k service providers,
- Provides support to the accounting department for the 401k audit.
- Participates in the 401k committee meetings twice annually.
- Oversees 401k non-discrimination testing, Form 5500 filings and provides support for the 401k annual census.
- Manages annual 1095cs and Form 5500 filings for our health and welfare plans.
- Communicates with employees, co-workers, management, customers, vendors and others in a courteous and professional manner.
- Abides by all regulations, policies, work procedures and instructions.
- Working with the VP, Human Resources, administers global benefit plans, including supplemental insurance, pension plan schemes, and registered retirement savings plans.
- Performs other duties as assigned.
- Partners with technical staff to ensure data integrity, testing and implementation of ACA, IRS and ERISA benefits reporting requirements.
- Develops and implements policy and procedures to maintain ACA compliance.

- Strong experience with ACA and ERISA compliance.
- Experience working with Canada and UK benefits preferred but not required.
- Excellent communication and organizational skills.
- Excellent reconciliation and audit skills.
- Strong people and project management skills.
- Proficient with Microsoft Office.
- Staffing or PEO experience preferred.
- SHRM/HRCI/ or CEBS certification preferred.
Hiring Range: $105,300 – $136,900 per year
